We may process personal data for the purposes of raising charitable funds to support the Library's work and collections. We may process data supplied by you, data about you that we already hold, or data gathered from external sources. If you have an existing relationship with the Library we may use data about you to help us engage with you about the Library's work and collections. We may use data about you to create a profile of your interests and preferences, for example by using different types of personal information (see 'Types of personal information'). We process personal data that you provide to us in order to manage donations that you make to support the Library. This could include:

If we have gathered data about you from external sources and recorded it for the purposes of approaching you for a donation, we will inform you and provide you with privacy information within one month of obtaining the data. |
Legal basis |
Processing of personal data for this purpose is necessary for the legitimate interests of the Library. As a charity we have a legitimate interest in raising funds for the Library's work and collections. This may include processing data about our users, donors and prospective donors. We use personal data for this purpose on the condition that our use is appropriate, does not contravene your fundamental rights and freedoms and could be of benefit to you. We only use your data for this purpose if you would have a reasonable expectation that we may do so. We may process your data for related purposes on other legal bases, including consent or compliance with legal obligations. For example, we have a legal obligation to use certain personal data received in relation to Gift Aid donations. These legal bases are explained in other privacy notices, in particular the communications notice and the legal compliance notice. |

Sources of personal information |
If we gather data from external sources we normally locate it from publicly available sources. These may include general web searches, other open resources, or third party sources who compile publicly available information about you such as listed directorships or typical earnings in a given area. We will tell you the specific sources of the data that we have collected from external sources when we contact you. |

This data will be processed by the National Library of Scotland for this purpose and certain data may be sent to third parties (see 'Will the data be transferred to third parties?'). |
Retention period |
We process donor records for at least one year after the data of last action, at which point we review our records to assess if we still have legitimate interests for holding it. We must retain records related to financial transactions, including Gift Aid, for at least six years after the financial year in which the transaction takes place. See the legal compliance privacy notice for more details. We have a detailed range of retention periods for different types of records, some of which may also apply to information processed for fundraising purposes. Please see our retention schedules (811 KB; 77 pages) for details, in particular under business classifications 04.03.03.01 'Donors' and 04.03.05.00 'Prospects' on page 27. While we are working to implement our retention schedules, some data may be retained longer than required under the schedules. |

We may use a third party provider for wealth screening or profiling. We currently use ScotInform for profiling. Postcodes of event or exhibition attendees, donors or prospects and registered or lapsed readers are supplied to Scotinform for profiling, to give us demographic information about the constitution of our audiences. No, supply of your personal data for this purpose is optional and you are able to give anonymously. If this data is not supplied we will not be able to undertake relevant activities associated with any donation or fundraising activities you make undertake (for example, we will not be able to publicly thank you for any donations or claim Gift Aid on your donation). You will not be able to register as a patron or benefactor of the Library if you do not supply this data. |
